How to fill in the sheet
Classify each task using two questions: does it have a time-sensitive deadline, and does it matter to your objective? Place it in the corresponding urgency–importance quadrant and note the reason when unclear.
How to keep it useful
Placement depends on your situation and can change. A matrix organizes decisions but does not determine who can do a task or how long it takes. Check those conditions before scheduling it.
Write recognizable actions
“Organize” is hard to mark complete; “file the papers on the desk” has a clear ending. Leave room for unexpected tasks and review unfinished items before copying them into the next day. Remove tasks that are no longer needed.
